How Meeting Cost Is Calculated

This calculator converts each attendee’s annual salary into an hourly rate (using a standard 2,080-hour work year), then applies a typical 30% overhead loading factor to account for benefits, payroll taxes, and other employment costs beyond base pay.

The loaded hourly rate is divided into a per-minute rate, multiplied by the meeting length, and then multiplied by the number of attendees to get the meeting’s total dollar cost. Recurring meetings are also projected out to a yearly total.
